Important information for providers

Information required to advertise a property on Housing for students at RMIT

You are required to provide us with your full name, full street address (including the street number) and contact details (telephone and email address) before we can advertise your vacancy. These are for office use only. Current RMIT students will only see the name of the street the vacancy is in, as well as any contact details you have chosen to make available to them. It is up to you to if you want to provide further details when you speak to students to arrange an inspection.

We encourage providers to obtain tenancy information from Consumer Affairs Victoria (CAV) by calling 1300 55 81 81 or visiting their website.

Who can access the information in my listing?

Some information about listings is visible to the public. However, your contact details are only made available to students of RMIT University that have verified their identity.

Providers offering rooms to four or more people

Please note that if the property you wish to list is intended to be occupied by four (4) or more residents, either in separate or shared rooms and the residents have individual leases then your property will be considered a rooming house under the Residential Tenancies Act 1997 and must operate as such.

You must register your property with your local council, meet basic health and hygiene standards and allow your property to be inspected by Environmental Health Officers.

Note: RMIT requires proof of registration before your rooming house listing can be published on Housing for students at RMIT. For more information please contact Consumer Affairs Victoria.

Providers advertising a room / property in the case of breaking a lease

Please note that if the property/room you wish to advertise is available due to the breaking of a lease, it is your responsibility to consult with the landlord / agent prior to the submission of a listing.

How to use Housing for students at RMIT

This site is best viewed in a modern standards compliance browser such as Firefox and Safari and is also compatible with Internet Explorer 8 and above.

Register as a provider

Before you can start advertising your housing listings on Housing for students at RMIT you must first register as a provider. Note that RMIT staff are not permitted to register as a provider.

To register, click on the 'Register' link on the 'Accommodation providers' section of the home page. This will take you to the ‘Register as an accommodation provider’ page where you are required to:

  1. click on the ‘Email address’ box and enter your email address
  2. click on the ‘Password’ box and enter a password (your password must be at least 6 characters long)
  3. select the type of provider you are from the drop-down list (click on the arrow to display the available options: Private provider; Real estate agent; or Student)
  4. click on the ‘Name’ box and enter your full name (note that authorised RMIT students will only see your first name)
  5. click on the ‘Phone number’ box and enter your primary phone number
  6. click on the ‘Postal address’ box and enter your postal address (this will not be displayed to students)
  7. click on the ‘Alternate phone number’ box and enter a different phone number to the one you previously entered should you wish to provide another contact number to students (this information is optional)
  8. lick on the ‘Fax number’ box and enter - if you have a fax number you wish to provide to students (this information is optional)
  9. select your preferred way for students to contact you from the drop-down list (click on the arrow to display the available options: email or phone; email only; or phone only)
  10. select the ‘Terms and Conditions’ link to read the provider Terms and Conditions. It is important that you read this carefully prior to submitting your registration as it details your obligations as a provider
  11. if you have read, and agree to the terms and conditions, click on the checkbox to record your agreement
  12. if all your information is complete and correct select the ‘Register’ box

Note that if you have not completed all of the required information, you will be advised how many fields are incorrect. To find out which information is missing, click on the ‘OK’ button. Next, enter the missing information as required and re-select the ‘Register’ box. If you are still experiencing difficulties, email housingforstudents@rmit.edu.au

If you have completed all of the required information you will receive on-screen notification that your registration has been successful. You can now add your listing

Sign in to Housing for students at RMIT

In order to sign in to Housing for students at RMIT you must have first registered as a provider. To sign in to Housing for students at RMIT click on the 'Sign in' link on the 'Accommodation providers' section of the home page. This will take you to the ‘Sign in’ page where you are required to:

  1. click on the ‘Email address’ box in the ‘Others’ section and enter the email address you used to register with
  2. click on the ‘Password’ box and enter the password you used to register with
  3. click on the ‘Sign in’ box

Note that if you have entered an incorrect email or password you will be notified that: “The email address or password you entered is not valid”. Re-enter the correct information and re-select the ‘Sign in’ box.

If you have forgotten your password you can select the 'Forget your password?' link. Click on the box displayed on the next screen, enter your email address, and select the ‘Send me reset instructions’ button. You will immediately receive an email containing information on how to reset your password. Click on the link contained in the email and follow the instructions. If you cannot remember the email address you used to register, or are still experiencing difficulties, email housingforstudents@rmit.edu.au

About your Dashboard

Once you have successfully registered as a provider and every time you sign in to Housing for students at RMIT you will be taken to your Dashboard. From your Dashboard you can easily navigate around Housing for students at RMIT; edit your provider details (the information you entered when you registered); add a new listing; or check on the status of your listing(s).

Home tab

Clicking on the ‘Home' tab at the top of your Dashboard takes you back to the Housing for students at RMIT home page where you can read news and information from the Housing Advisory Service; add a new listing; update your details; or return to your dashboard (using the links provided).

Rooms tab

Clicking on the ‘Rooms' tab at the top of your Dashboard takes you to the 'Find rooms in shared housing page' where you can search for other shared housing listings. Although you are probably not looking for housing yourself, you might find it useful to see what other shared housing is being advertised to RMIT students. You can display all shared housing listings by simply clicking on the ‘Find’ button or by selecting any of the other fields to narrow your search.

Properties tab

Clicking on the ‘Properties tab’ at the top of your Dashboard takes you to the Find properties to rent page where you can search for other vacant property listings. Although you are probably not looking for housing yourself, you might find it useful to see what other vacant properties are being advertised to RMIT students. You can display all vacant properties by simply clicking on the ‘Find’ button or by selecting any of the other fields to narrow your search.

Campuses tab

Clicking on the ‘Campuses' tab at the top of your Dashboard takes you to a list of RMIT University Campuses: Brunswick, Bundoora, City, Hamilton and Point Cook. Clicking on a campus link will give you more information about that campus, including a map of the area (which may help you determine the nearest campus to your listing). Clicking on the ‘Find listings near …’ link will display all the currently advertised listings near the campus you have selected.

Add a listing tab

Clicking on the ‘Add a listing tab’ at the top of your Dashboard takes you to the 'List student accommodation' page where you can add a new listing.

Additional information

The information on the right hand side of your Dashboard is displayed on every Housing for students at RMIT page. It provides:

  • a link to the RMIT Village website
  • a 'Tips for students' button (which provides students with information and advice about housing and tips on how to use Housing for students at RMIT)
  • a 'Tips for providers' button (which gives you information and tips on how to use Housing for students at RMIT – that is, where you are now)
  • a 'Related links' section which includes:
    • a link to the Housing Advisory Service webpage
    • a link to useful Information for current students
    • a link to information about RMIT’s campuses
    • a link to 'Student feedback' (for students to provide feedback to the RMIT Housing Advisory Service)
    • a link to 'Provider feedback' (for providers to provide feedback to the RMIT Housing Advisory Service)

The information on the bottom of your Dashboard is displayed on every Housing for students at RMIT page. It provides:

  • a link to view the Provider Terms and Conditions (that you agreed to when you registered)
  • a link to view the Student Terms and Conditions
  • a link to view the Privacy statement
  • a link to view the Disclaimer

View your listings

You can quickly view one of your listings by clicking on its’ link. You can also check on the status of your listing(s) via your Dashboard.

The listing statuses that are displayed to you are:

Draft: a listing you have started entering but have not yet completed and submitted for approval. You can click on the link to finish entering the listing details and submit it for approval at any time.

Awaiting approval: a listing which you have submitted and is awaiting approval by Housing for students at RMIT Administration. You should not make changes to any listings awaiting approval.

Current: a listing which is currently published (visible to students).

Closed: a listing which is no longer visible to students (has either been closed by you or has expired). Note that a listing is normally published for 14 days (7 days during peak periods).

Pre-listed: a listing which has been approved by Housing for students at RMIT Administration but is not yet available for rental.

Note that any of your listings which have been rejected by the Housing Advisory Service will NOT appear on your Dashboard.

Add a listing

In order to add a listing you must have registered as a provider and be signed in to Housing for students at RMIT. If you are currently signed in, your email address will be displayed in the top right hand corner of the screen. If it isn’t displayed, simply sign in again…

To add a listing you can either click on the 'Add a new listing' link on the 'Accommodation providers' section of the home page; click on the ‘Add a listing’ tab on the top of the screen; or select the ‘Add a listing’ button on your Dashboard. Any of these actions will take you to the 'List student accommodation' page where you are required to enter information about your listing as detailed below:

Property details section

All the information in this section must be completed (unless specified as optional)

  1. click on the ‘Address’ box and enter the address of your listing ( e.g. 77 Sunset Strip)
  2. click on the ‘Suburb’ box and enter the suburb of your listing (e.g. St Kilda)
  3. click on the ‘Postcode’ box and enter the postcode of your listing (e.g. 3182)
  4. click on the button that best indicates the type of housing you are listing (i.e. a vacant property to rent; or one or more rooms in a shared property)
  5. select the type of property you are listing from the drop-down list (click on the arrow to display the available options: Vacant house; Vacant studio apartment; Vacant apartment; Student hostel; Bungalow; Rooming house; Student apartment complex; Temporary housing; Share apartment; Share house)
  6. click on the ‘Rent $’ box and enter the cost of rent per night, per week or per month as applicable (e.g. 200)
  7. select the rent period from the drop-down list (click on the arrow to display the available options: per night; per week; per month)
  8. click on the ‘Bond $’ box and enter the bond amount required (e.g. 800)
  9. click on the ‘Available from’ box and enter the date the property is available to occupy (e.g. 22-Sep-2010. When you start entering the date, you will have a suggested date displayed to you. If it is the correct availability date, click on it to enter into the box. Alternatively continue entering the date, e.g. 22-Oct- until the correct date suggestion is displayed)
  10. click on the ‘Lease for’ box and enter the minimum lease period required (e.g. 12 months). If there is no minimum lease period, simply leave this box blank, and click on the ‘No minimum’ box
  11. select the size of the bedroom you are listing from the drop-down list (click on the arrow to display the available options: Small; Medium; Large). If your property has more than 1 bedroom available, simply click on the arrow again to add another bedroom
  12. if you are advertising a room/s in a share house/apartment click on the ‘Total bedrooms in property’ box and enter the total number of bedrooms the property has (e.g. 3). Note that this option will not display if you are advertising a vacant property.
  13. f you are advertising a room/s in a share house/apartment click on the ‘Current occupants’ box and enter the number of people who will be sharing the property with the new tenant (e.g. 2). Note that this option will not display if you are advertising a vacant property.

Other information section

Unlike the previous section which requires all the information to be completed, you do not have to enter information for each category in this section of the form. You can tell which information must be entered by the appearance of the ‘category title’ (e.g. Room type; Parking). If the category title is in bold (dark type) you must enter the information. If it is greyed out, this information is optional and does not have to be entered unless you wish to. If you are unsure, place your cursor over the category type and you will receive a hint as to whether or not you must select something.

You can enter your information by either:

  • selecting the appropriate option from the drop-down list or;
  • clicking on the appropriate item (if a drop-down list is not provided). Note that if you want to add more than one of the displayed items, you can simply hold down the CTRL key and click on each item to be added.

Photos section

You are not required to upload photos of your listing however inclusion of photos may make your property more attractive to RMIT students searching for housing.

To add a photo:

  1. click on the ‘Browse’ button to locate your photo
  2. double click on the file to be added 16. the photo is uploaded
  3. if you wish to remove the photo, simply click on the ‘Remove’ link adjacent to the photo to be removed. Note that your photos must be in .JPG or .GIF format. You can upload up to 10 photos. Housing for students at RMIT Administration reserve the right to remove photos.
  4. once you have finished steps 1-17 select the ‘Preview this listing’ box

Note that if you have not completed all of the required information, you will be advised how many fields are incorrect. To find out which information is missing, click on the ‘OK’ button. Next, enter the missing information as required and re-select the ‘Preview this listing box. If you are still experiencing difficulties, email housingforstudents@rmit.edu.au.

  1. If you have entered all the required information, you can review your listing and make any necessary changes before you submit your listing for approval by selecting the ‘Wait, I need to make changes’ button – you can then revisit steps 1-18 (as required)
  2. If you are happy with your listing information and do not need to make any further changes you can select the ‘OK, submit this listing’ button
  3. You will receive on-screen notification that your listing has been successfully submitted and that you will receive a notification email when it has been approved by the Housing Advisory Service

Edit a listing

Once your listing has been approved, you may subsequently wish to edit it. In order to edit a listing you must first be signed in to Housing for students at RMIT. If you are currently signed in, your email address will be displayed in the top right hand corner of the screen. If it isn’t displayed, simply sign in again…

To edit a listing:

  1. first select the listing to be edited from your Dashboard. Note that only current listings can be edited
  2. click on the ‘Edit listing’ link
  3. following the steps you used to create a new listing (Steps 1-17, above) edit your listing as required
  4. select the ‘Save changes’ button
  5. the changes to your listing have now been saved

Extend a listing

Four days before your listing is due to expire (be removed from display to students) you will receive a notification email from the Housing Advisory Service. If your listing is still available you will be able to extend it (keep it visible to students beyond the expiry date) by clicking on the link contained in your email. Note that to extend a listing you must be first signed in to Housing for students at RMIT. If you are currently signed in, your email address will be displayed in the top right hand corner of the screen. If it isn’t displayed, simply sign in again…

To extend your listing:

  1. click on the link contained in your ‘listing will expire soon’ email
  2. ensure you are signed on to Housing for students at RMIT
  3. click on the ‘OK, extend this listing’ button
  4. your listing will now be displayed for another 14 days (7 days during peak periods)

Close a listing

To ensure that you do not receive enquiries about a listing that is no longer available, it is important that you close your listing as soon as it is tenanted or withdrawn from availability. Note that to close a listing you must be first signed in to Housing for students at RMIT. If you are currently signed in, your email address will be displayed in the top right hand corner of the screen. If it isn’t displayed, simply sign in again…

To close a listing:

  1. first select the listing to be closed from your Dashboard. Note that only current listings can be closed
  2. click on the ‘Close this listing’ link
  3. select the ‘Yes, close this listing’ button
  4. your listing has now been closed and is no longer visible to students

Relist a listing

You can relist (reactivate) a closed listing should it still be available to RMIT students after the initial listing has expired; or becomes available again at a later date. Note that to reactivate a listing you must be first signed in to Housing for students at RMIT. If you are currently signed in, your email address will be displayed in the top right hand corner of the screen. If it isn’t displayed, simply sign in again…

To reactivate a listing:

  1. first locate the listing to be reactivated from your Dashboard. Note that only closed listings can be reactivated
  2. click on the ‘relist’ link adjacent to the listing to be reactivated
  3. click on the ‘Available from’ box and enter the date the property is available to occupy (e.g. 22-Sep-2010. When you start entering the date, you will have a suggested date displayed to you. If it is the correct availability date, click on it to enter into the box. Alternatively continue entering the date, e.g. 22-Oct- until the correct date suggestion is displayed)
  4. select the ‘Preview’ box
  5. If you have entered all the required information, you can review your listing and make any necessary changes before you submit it for approval by selecting the ‘Wait, I need to make changes’ button – you can then revisit steps 1-18 for adding a listing (as required)
  6. 6. If you are happy with your listing information and do not need to make any further changes you can select the ‘OK, submit this listing’ button
  7. You will receive on-screen notification that your listing has been successfully submitted and that you will receive a notification email when it has been approved by the Housing Advisory Service.

Once you have submitted your listing, return to your Dashboard. Your listing should now be displayed as ‘Awaiting approval’ and should not be changed (or relisted again) until it has been approved by the Housing for students at RMIT Administration.

Edit your provider details

To ensure that you receive updates and information from the Housing Advisory Service (and to ensure that your correct contact details are displayed to students) it is particularly important that your provider details are kept up to date. In order to edit your provider details you must first be signed in to Housing for students at RMIT. If you are currently signed in, your email address will be displayed in the top right hand corner of the screen. If it isn’t displayed, simply sign in again…

To edit your provider details:

  1. click on the ‘Edit my provider details’ link on your Dashboard
  2. following the steps you used to register edit your provider details as required
  3. select the ‘Save changes’ button
  4. your provider details have now been changed

Note that if you have not completed all of the required information, you will be advised how many fields are incorrect. To find out which information is missing, click on the ‘OK’ button.
